Rubrik, a cloud data management company, partnered with CG Creative to produce their first-ever live user conference, Rubrik Forward, scheduled for May 2020. Despite months of planning, the team faced some difficult decisions when just two months out from the event date the world found itself facing a “new normal” in response to COVID-19. Anticipation for the event was high, and the decision to pivot to a digital summit was made. Initial ideas of small teams and in-studio filming were sidelined due to shelter-in-place orders. With six weeks left, remote filming was the best next solution. Our “Studio-In-A-Box” solution, professional-quality recording equipment curated by our expert video team, was shipped to over 30 individuals around the globe to be recorded in their homes. Within 8 weeks, the CG Creative and Rubrik teams executed an unprecedented pivot from a physical 800-attendee event to a virtual event with over 8,000 registrants.

As it became clear that a physical event would no longer be an option, the Rubrik and CG Creative teams worked together over an intense 48hrs to identify all possible solutions. Ultimately, the decision was made to pivot to digital in order to maintain momentum already gained and embrace a unique opportunity to connect with the Rubrik audience.
CG Creative developed a best practice around remote recording in compliance with statewide stay-at-home orders allowing for presenters and executives to deliver high-quality video content from the safety of their homes. After testing other options, the combination of Quicktime recording and Zoom recording provided the best result while also being extremely user friendly. Rubrik is a Zoom client, so this was the meeting software of choice. No additional software was required beyond what Presenters already had on their Mac/PC
The biggest challenge our team faced on this project was developing a remote recording process that would yield high-quality results while also accounting for the spectrum of variables each presenter would face while recording from home from troubleshooting in-home internet limitations, mitigating sources of ambient noise, or just trying to keep a child (or family dog) out of the shot.

CG Creative was responsible for managing all aspects of Keynote and Breakout recording process for Forward Digital Summit. This included equipment fulfillment and shipping, coordinating and scheduling of all recording sessions, editing, and QC’ing all footage, developing all necessary creative assets for each presentation.
Along with transforming from physical to virtual production, the CG Creative team was also tasked with the challenge of translating and redesigning all creative deliverables to meet the unique needs of a virtual event environment. This required the expertise of our in-house creative team, taking the static event look and feel and creating a design system to bring the show look to life within multiple design mediums.
Thoughtfully crafted motion graphics laid the foundation for multiple video deliverables. Our animated graphics package included a walk-in video, count-down, interstitials, presenter mortise, looping website header, and an event recap video. Our creative philosophy for virtual events is to prioritize the creation of a robust animated graphics package to elevate the viewer experience and maintain engagement through dynamic creative.
Our keynote graphics package was designed with the virtual viewer experience in mind. Our skilled presentation designers and art directors designed a visual system that included assigned color palates to specific content to allow viewers to quickly associate key features and benefts. Additionally, the presentation design team was responsible for upleveling essential communications collateral including the Rubrik Marketecture that would then be used to facilitate ongoing company and stakeholder communications.
Through an integrated partnership with Rubrik, CG Creative successfully transformed a 3-day, multi-session physical event into an immersive, content-rich virtual experience for over 8,000 registered attendees from over 81 countries, demonstrating that the combination of engaging creative content, strategic storytelling and the right virtual platform can attract and retain a greater audience.8.0
